3 Tips for Using Online Appointment Scheduling
Last week, I shared a way for gig based artists to showcase their calendar of LIVE events using BandsInTown.
This week, I want to share a way for service based businesses to save time by using online appointment tools. Online appointment tools eliminate the hassle of back-and-forth emails so you can get back to work. They operate as a virtual assistant, working 24/7 to fill your schedule. All you need to do is show up at the right time!

1. Customize the Confirmation
Inside email settings, take the time to customize the notification. In addition to providing your physical address or Zoom link, you can also personalize the email with your tone.
I love adding their first name, signing off as if it’s an email coming from you, and adding emojis to make the experience more human! ❤️
My client Stef Tovar provides instructions the physical address, instructions for parking, as well as Covid protocol.
2. Set Up Reminders
While it’s easy for your clients and customers to add the event to their calendar, it’s possible they will forget to do so! Consider sending two reminders: 1-2 days in advance of the meeting, and another 1 hour before with the same link.
Don’t be afraid to clone (or duplicate) the original confirmation, but customize each message to improve the overall experience. You might consider reminding people what to bring to be prepared for the meeting.
3. Automate a Followup
The magic is in the followup. I recommend my clients and students send an email the next day, but you can also automate an email for 365 days after! Following a meeting, I send a simple email (designed to look like it’s coming directly from me) to “check in” and ask how they’re feeling after the session. I also request a review to our Facebook Page, Google Profile, or LinkedIn… depending on the time of year.
